Document Controller
Duties & Responsibilities:
Document Management:
Establishing and maintaining a well-organized system for controlling engineering documents (e.g. drawings, specifications, calculations, reports).
Ensuring accurate and timely registration, indexing, filing, and retrieval of both electronic and hard copy documents.
Managing document revisions and ensuring that the latest approved versions are readily available.
Implementing and maintaining electronic document management systems (EDMS).
Using document management software to upload or scan paper documents.
Retrieving documents for authorized personnel.
Ensuring document storage complies with laws and regulations.
Managing and organizing all Engineering documents.
Tracking revisions and facilitating document retrieval for internal and external stakeholders.
Print and distribute documents as needed.
Scan and upload documents according to company procedure.
Review and update documents for quality control.
Keep other personnel updated on new document versions and how to obtain access.
Handle records across various engineering departments.
Create templates for use by other personnel.
Maintain confidentiality regarding sensitive documents.
Document Control Procedures:
Developing and implementing document control procedures and workflows in compliance with company standards and regulatory requirements.
Ensuring adherence to document numbering conventions and formats.
Managing document distribution internally and externally.
Tracking the status of documents throughout their lifecycle.
Conducting regular audits of the DCC to ensure compliance and efficiency.
Communication and Coordination:
Serving as the central point of contact for all document-related inquiries.
Collaborating with engineering teams, project managers, and other departments to ensure smooth document flow.
Communicating document control procedures and requirements to project teams.
Facilitating the transmittal of documents to clients, contractors, and other stakeholders.
Quality Assurance:
Ensuring the accuracy and completeness of engineering documents.
Implementing quality checks to identify and resolve document-related issues.
Maintaining records of document changes and approvals.
Technical Skills:
Proficiency in using electronic document management systems (EDMS).
Strong computer skills, including MS Office Suite (Word, Excel, Outlook).
Familiarity with engineering drawings and technical documentation.
Understanding of document control principles and best practices.
Qualifications:
A degree or diploma in a relevant field such as engineering, information management, or a related discipline is often preferred.
Minimum 5-7 years of DCC in Oil & Gas industry.
Excellent organizational and time-management skills.
Strong attention to detail and accuracy.
Effective communication and interpersonal skills.
Ability to work independently and as part of a team.
Problem-solving skills.
Familiarity with relevant industry standards and regulations.
